1. Introduction

Kinecto AI ("Kinecto," "we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our AI-powered calling service, mobile application, and website (collectively, the "Service").

By using the Service, you agree to the collection and use of information in accordance with this policy.

2. Information We Collect

2.1 Account Information

When you create an account, we collect:

  • Name, email address, and phone number
  • Account credentials (securely managed via industry-standard authentication)
  • Subscription and billing information (processed by our payment provider)

2.2 Elderly User Information

When you register a loved one for the Service, we collect:

  • Name, phone number, and timezone
  • Preferred call schedule and language preferences
  • Consent status and history
  • Facility linkage information (if connected to a senior living community)

2.3 Call Data

During and after AI calls, we process:

  • Call transcripts: Real-time speech-to-text transcription for generating conversation summaries
  • Call summaries: AI-generated summaries of call content, mood, and topics
  • Treasured Memories: Selected audio highlights (stories, laughter) saved with your consent
  • Mood and wellbeing indicators: Aggregated from conversation analysis
  • Amenity and event mentions: References to facility amenities or events mentioned during calls, with associated sentiment (for facility-linked users only)

2.4 Family Updates

Content you share through the app for Kinecto to mention during calls, including text updates and optional photo attachments.

2.5 Notification Data

To deliver push notifications, we collect:

  • Device push notification tokens (Firebase Cloud Messaging)
  • Notification preferences (push and email toggles)

2.6 Facility Invite Data

When a facility sends you an invitation to join Kinecto:

  • Your name, email address, and resident details provided by the facility
  • Invite token and acceptance status

2.7 Usage Data

We automatically collect:

  • Device information and app version
  • Log data (timestamps, features used)
  • Error reports for service improvement

3. How We Use Your Information

We use collected information to:

  • Provide the Service: Make AI calls, generate summaries, detect loneliness patterns
  • Personalize conversations: Remember previous topics, share your family updates, build conversational memory
  • Send notifications: Call summaries, loneliness alerts, consent changes, and service updates via email and push notifications
  • Facility insights: Provide aggregate (non-individual) amenity and event sentiment data to enrolled facilities
  • Process payments: Manage subscriptions through our payment provider
  • Improve the Service: Analyze usage patterns (anonymized) to improve call quality
  • Provide support: Respond to feedback and support requests

4. Data Sharing and Disclosure

We do not sell your personal data. We share data only with:

  • Service providers who help operate the Service (cloud hosting, telephony, AI processing, payment processing), under strict data processing agreements
  • Enrolled facilities who may receive aggregate (non-individual) wellness insights for their residents, only with explicit consent
  • Legal authorities when required by law, court order, or to protect safety

Third-Party Services

We use trusted third-party service providers for cloud hosting, telephony, AI processing, payment processing, and error monitoring. All providers are bound by strict data processing agreements and are selected for their security and compliance standards. Data shared with each provider is limited to what is necessary for their specific function.

5. Data Security

We implement robust security measures to protect your data:

  • Encryption: All data is encrypted in transit (TLS 1.2+) and at rest
  • Access control: Role-based access with industry-standard authentication and token management
  • HIPAA-aligned practices: Structured logging with automatic PHI redaction, audit trails, token revocation
  • Infrastructure: Hosted on Google Cloud Platform with SOC 2 and HIPAA compliance
  • Error tracking: Error monitoring is configured to filter out all personal health information before transmission

6. Data Retention

  • Account data: Retained while your account is active, deleted upon account closure
  • Call transcripts and summaries: Retained per your data retention settings (configurable in the app)
  • Audio recordings: Stored per your retention preferences; you can delete specific recordings at any time
  • Audit logs: Retained for 6 years per HIPAA requirements
  • Notification tokens: Push notification tokens are deleted when you sign out or delete your account
  • Facility invite data: Invite records are retained for 90 days after acceptance or expiry, then permanently deleted

7. Your Rights

You have the right to:

  • Access your personal data through the app or by contacting us
  • Correct inaccurate information in your profile settings
  • Delete your account and all associated data
  • Export your data (request a data download through the app)
  • Withdraw consent for calls at any time
  • Opt out of non-essential communications

To exercise these rights, use the Privacy & Security settings in the app or email privacy@kinecto.ai.

8. Consent for Elderly Users

Consent is a core part of our service:

  • During the first call, Kinecto asks your loved one for verbal consent to continue receiving calls
  • Your loved one must explicitly agree to receive future calls
  • Consent is versioned and auditable
  • Consent can be revoked at any time, by you or by your loved one during a call
  • Revocation immediately stops future scheduled calls

9. Children's Privacy

The Service is not intended for use by children under 18. We do not knowingly collect personal information from children. If you believe we have collected data from a child, please contact us immediately.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or through the app. Continued use of the Service after changes constitutes acceptance of the updated policy.
